How to Create a New Customer Contact

Step 1: Access the Customer Profile

  1. In Buscoou PRO, go to the Admin Area.
  2. Open the customer profile where you want to add a new contact.
  3. Click on the Contacts tab.

Step 2: Create a New Contact

  1. Click the New Contact button.

  2. Fill in the following fields:

    • First Name – The contact's first name.
    • Last Name – The contact's last name.
    • Position – The contact’s position in the company.
    • Email – Used for login and receiving communications within Buscoou PRO.
    • Phone – The contact's phone number.
    • Password – Set an access password.
    • Primary Contact – If this is the first contact created, this field will be automatically checked and cannot be disabled.
    • Do not send a welcome email – Enable this option if you don’t want the contact to receive a welcome email. This setting can be managed in Settings -> Email Templates -> New Customer Added/Registered (Welcome Email).
    • Send password reset email – An email will be sent with a link for the contact to set a new password. The link will be valid for 48 hours.

Step 3: Set Contact Permissions

  • Default contact permissions can be configured in Settings -> Customers.
  • If a contact does not have any permissions, the corresponding menus will be hidden in the client portal.
  • Permissions define which modules the contact can access, and they can be adjusted as needed.

Available Permissions:

  • Invoices
  • Estimates
  • Contracts
  • Proposals
  • Support
  • Projects
  • Email Notifications

Example: If a contact does not have permission for Invoices, they will not be able to view invoices when accessing the customer portal.

Step 4: Manage Email Notifications

For each contact in Buscoou PRO, you can enable or disable specific email notifications.

  • If you do not want a contact to receive overdue invoice notifications, you can turn off that option.
  • Note: If the customer has only one contact and email notifications are disabled, no emails will be sent for any related features.

Example Scenario:
If a customer has 5 contacts and all have access to Projects, but only one should receive project-related notifications, you can configure email notifications for that contact alone.

Additionally, when sending an invoice, the email notifications setting is used to pre-select the contacts. If you navigate to Sales -> Invoices -> [Invoice] and click the email icon to send an invoice, only contacts with invoice notifications enabled will be automatically selected. If you manually select a contact who has notifications disabled, the email will still be sent to all selected contacts.
