How to Add and Manage Products Items

In Buscoou PRO, you can create predefined items (products/services) to streamline the process of generating invoices, estimates, and proposals.


Step 1: Creating a New Item

  1. Navigate to Sales -> Items.

  2. Click on the New Item button in the top left corner.

  3. Fill in the following fields:

    Description – A short title or name of the item.
    Long Description – A more detailed explanation of the item.
    Rate – The price of the item excluding taxes.
    Tax – Assign a predefined tax rate, which will be automatically applied when adding the item to invoices, estimates, proposals, or credit notes.
    Unit – Define the unit of measurement (e.g., kg, hours, units, lots).
    Item Group – If you have multiple items, organize them into groups for easier management. You can create groups by clicking on the Group button in the top left.

  4. Click Save to add the item to your inventory.

📌 Note: Once an item is linked to an invoice, estimate, or proposal, updating the item’s details will not affect previously created transactions.


Step 2: Adding an Item to an Invoice, Estimate, or Proposal

  1. Navigate to Sales -> Invoices (or Estimates / Proposals).
  2. Click on Create New Invoice (or Estimate/Proposal).
  3. In the "Add Item" dropdown, select a predefined item.
  4. The item details (name, price, tax, unit, etc.) will be auto-filled.
  5. If necessary, modify the details before finalizing.

📌 This feature reduces manual entry and ensures pricing consistency.


Step 3: Using Multiple Currencies for Item Pricing

🔹 From version 1.9.2, Buscoou PRO allows item rates to be based on customer currency instead of only using the base currency.

🔹 Example:

  • Your base currency is USD, but you have a customer in EUR.
  • When creating an item, you can set a rate for EUR.
  • When adding the item to an invoice for a EUR-based customer, the system auto-applies the correct rate.

📌 Important: The secondary currency rate field will only appear if a customer is using a currency different from the base currency.
